Setting Up Your Business

Set up one working customer experience, test it, and confirm where your team will see the response. Start with one location and one Review Flow; add more variations after that first route works.

Your workspace should be ready and you should be signed in. Use a System owner or Administrator account for workspace-wide setup, or a Location manager account for the location you manage.

Have your business details, the destinations you want customers to use, and a contact address you control for a test request. If you only need a survey or intake experience, follow Creating a Custom Form instead of the Review Flow steps below.

After registration, FSRevs creates your first location from the details you provided during signup. Visit Locations in the left sidebar to review it.

Check that:

  • The location name and address are correct
  • The timezone is correct (this affects notification timing and report dates)
  • The location identifier makes sense (this is a short label used throughout the system)

If you have multiple locations, you can add more now — see Managing Locations.

Go to My Links in System Configuration. This is where you connect FSRevs to your review platforms, social profiles, and other online destinations. Adding your links now sets you up for everything that follows.

FSRevs organizes links into three categories:

  • Review Links — Where customers leave reviews (Google, Facebook, and other review platforms). These are used in review flows to direct customers to the right place.
  • Social Links — Your social media profiles (Instagram, X/Twitter, LinkedIn, etc.). These can appear on Public Pages.
  • Custom Links — Any other URL relevant to your business (booking page, website, loyalty program, etc.).

At minimum, most businesses start by adding:

  • Google Reviews — Registration may already have created your public Google link. Check it before adding another. A public link or phone lookup is separate from authorized Google account access.
  • Facebook or other review platforms — Paste the direct URL to your review page.

If you want to read and answer Google reviews from FSRevs, open the Google connection entry in Integrations. A System owner or Administrator authorizes the Google account and selects the listing relationships. If you used Choose from Google during registration, inspect the resulting connections and finish any pending setup.

Assign Google review management to the team members who will reply, then configure their new-review and changed-review alerts separately. See Google Business Profile for the complete sequence.

Open Review Flows under Customer Engagement and create a new Review Flow.

Choose one purpose, such as post-service feedback or helping customers find your review page. Keep optional questions to the information your team will use.

For your first flow, the key decisions are:

  • Name — Something descriptive like “Post-Service Review” or “Customer Feedback”
  • Location — Choose a specific location or Accessible to All Locations; this scope is fixed after creation
  • Experience Rating — Choose when to ask for a rating, or do not ask for one
  • Written Feedback — Decide how customers can send feedback directly to your team
  • External destinations — Enable the review, social, or custom links this Flow should offer
  • Completion — Choose what the customer sees after finishing

Quick Example: A Simple Facebook Review Flow

For a Flow that offers Facebook reviews and direct feedback, first add the correct Facebook destination in My Links, then:

  1. Select New Review Flow in Review Flows
  2. Name it something like “Facebook Review”
  3. Choose the location in Basics
  4. In Customer Details, set Experience Rating to Before destination choices if you want to collect a rating first
  5. In Reviews & Feedback, enable Facebook as the external destination and keep written feedback available
  6. Review Completion, save, and use Preview to check the experience

This example offers the customer choices; it does not publish a Facebook review on their behalf. A customer who continues to Facebook completes any review on Facebook itself.

Section titled “4. Set Up a Smart Link (Optional but Recommended)”

Smart Links give you permanent, shareable Base URLs for Review Flows, Custom Forms, websites, and simple pages. You can create a primary link while configuring a Flow or Form, or create one directly from Smart Links.

Choose a short, memorable slug (e.g., review or feedback) and link it to the review flow you just created. This gives you a URL like your-workspace.fsrevs.com/go/review.

Smart links are optional, but they’re one of the most versatile tools in FSRevs. You can:

  • Generate QR codes from your smart link to put on receipts, business cards, table tents, or signage
  • Add reusable configurations for a location, employee, sender, or campaign
  • Distribute new visitors across multiple available destinations
  • Include them in marketing — Add the link to email signatures, newsletters, or social media posts
  • Embed them on your website — Use them as the destination for “Leave us a review” buttons

First use Preview Current Settings to check the wording and destinations. Then save the Flow, turn on Accept New Responses when ready, and send a live request to a contact you control. You can start from:

  • The Launch button in the top navigation
  • The Quick Actions page in the sidebar
  • The Send action on a saved customer
  • The Request Review action in Flow Activity
  • Your Smart Link, when testing a reusable public route instead of an individual request

  1. Open the same saved link or request your customers will use, preferably in a private browser window for a fresh visit.
  2. Confirm the location, business details, and review destination.
  3. Submit test feedback and complete the experience.
  4. Return to Review Flows, find the Flow, and select Activity. Confirm the response, location, and any employee attribution.
  5. If you enabled Team Notifications, check that the intended person received the relevant alert.

Preview does not create a real response. A live test creates activity and may send notifications; a request sent through FSRevs uses the applicable request allowance. A click to an external review site records a Review Attempt, not confirmation that a public review was posted.

Visit Branding in Global Settings to customize how your flows look to customers:

  • Upload your logo
  • Set your brand colors
  • Choose header layout

If other team members will send requests or manage feedback, add them under Users in Global Settings.

Give each person the responsibilities and locations they need. Saving a new user does not send an invitation automatically: use Send Setup Invitation after reviewing their access. Configure notifications separately for the people who should follow up on responses.

  • Skipping destination setup — A Flow offering an external review site needs the right link configured and enabled. A feedback-only Flow can collect responses without an external review link
  • Testing only Preview — Preview helps check configuration; use a saved public link or request to verify a real response in Activity
  • Forgetting timezone — If your location timezone is wrong, scheduled notifications and report dates will be off
