Creating a Review Flow
Before You Start
Section titled “Before You Start”Make sure you have a role with flow-management permission and at least one location configured. Add external destinations first if you want to offer Google, other review sites, social pages, or custom links.

Create the Flow
Section titled “Create the Flow”Go to Flows and Forms > Flow Builders and select New Review Flow.
The Basics tab shows every setting required to begin:
- Flow Name is an internal name customers do not see.
- Location determines whether the flow is local or available across locations. If you manage exactly one location, it is selected automatically. Users with global access can choose a location or Accessible to All Locations.
- Accept New Responses determines whether Smart Links and new system requests can start this flow. Turning it off does not break existing system-sent requests.
After Location is resolved, the remaining tabs appear. Choosing a Location does not require the rest of the form to be valid, so you can still save and return to an incomplete draft.
Work Through the Five Tabs
Section titled “Work Through the Five Tabs”The tabs follow the customer experience:
- Basics — name, Location, availability, and the Customer Journey Summary.
- Customer Details — contact timing, optional email or SMS marketing permission, experience rating, Team Member Attribution, and introductory content.
- Reviews & Feedback — external destinations, written feedback and fallback behavior, testimonial details, and photos.
- Completion — an on-page thank-you message or a linked destination.
- Sharing & Delivery — Smart Link, email and SMS request messages, reminders, and Link Preview metadata.
Settings that cannot affect the current configuration are hidden. Their saved values are retained, so turning a feature off and back on restores its configuration.
The Customer Journey Summary in Basics previews this Flow’s configured stages. It is not the customer’s recorded multi-resource Journey. Exact destinations still depend on the customer’s resolved Location and the destinations eligible at that time.
The customer-facing introduction fields use the Rich Editor. They support formatting, managed Customer destinations, and image blocks.
Use Preview Current Settings from the page header or a section Preview action to try the current form state, including unsaved changes. Preview actions cannot submit real customer data or grant marketing permission.
Work with an Existing Flow
Section titled “Work with an Existing Flow”After creation, the Review Flow workspace can include:
- Reports — Results, funnel, destinations, delivery, and attribution.
- Activity — Customer activity locked to this Flow, with location context.
- Build & Configure — Editable settings or a read-only configuration summary.
- Team Notifications — Staff notification rules when your access includes them.
These pages are permission-aware. Someone with view access but no edit access sees the safe configuration summary and preview instead of editable fields.
Save and Test
Section titled “Save and Test”Save the flow, then complete it yourself using the same Smart Link, QR code, or request route customers will use.
Check that:
- Location selection is skipped or shown when expected.
- Customer details and Team Member Attribution appear only when useful.
- Any configured marketing choices appear beside the correct valid contact values and remain optional.
- The correct external destinations and written-feedback choices appear.
- Written Feedback is available as a fallback when external destinations are enabled but a Location has no eligible destinations.
- The configured thank-you message or linked completion destination works.
