Tasks, Issues & Reminders (Beta)

Open Tasks, Issues, or Reminders under Team Workspace based on what your team needs to track:

Type Use it for
Task Work that needs an owner, progress status, or target date
Issue A problem, blocker, or risk that needs visibility and follow-up
Reminder A future follow-up that your team does not want to lose track of

Use a Note when you only need to preserve internal context without an action status or due date.

Select New Task, New Issue, or New Reminder from the matching directory. Choose the starting details, then continue to the editor and save the record. The starting window does not create anything until you save it in the editor.

You can set:

  • An optional Customer attachment
  • The company-wide or location Team that should have access
  • A title, urgency, audience, status, and optional due date and time
  • A required body with the context your team needs

Available Teams and audiences depend on your role and location access. Attaching a Customer also shows the item on that Customer’s record; leaving it unattached keeps it only in Team Workspace.

Tasks, Issues, and Reminders use the same statuses: Open, In Progress, On Hold, Done, and Cancelled. Use them to show whether work is waiting, active, paused, completed, or no longer needed.

Urgency can be Not Urgent, Normal, Important, or Urgent. A due date helps your team sort and filter upcoming or overdue work.

Setting a due date does not automatically send a notification when that date arrives. Use the directory’s due-date and overdue filters to review time-sensitive work.

For example, create a Task titled “Call customer about appointment feedback,” attach the Customer, set a due date, and assign the team member after saving. That assignee can use the directory to review the work and mark it Done when finished. Creating the record does not call or message the Customer.

After the first save, add one or more assignees to show who is responsible. Team members can also follow the record for in-app updates without becoming assignees.

Use comments for discussion. Comments and important changes appear in the activity timeline, so your team can see the conversation and how the record changed over time. Assignments, followers, comments, and audience changes save immediately; use Save Task, Save Issue, or Save Reminder for editor changes such as the body, status, urgency, or due date.

Audience and location scope work together:

Audience Who can see the record
Team Team members who can access the selected company-wide or location scope
Private The owner and eligible managers in that scope
Managers Only Eligible managers in that scope

Your role and location access still apply. If an audience or scope change removes someone’s access, FSRevs also removes that person from the record’s followers and assignees.

Each directory can be searched and filtered by details such as status, overdue state, due-date range, assignees, audience, location scope, categories, and deleted state. Open a record to review its comments, activity, and earlier saved versions.

For a daily review, filter to work assigned to you, check overdue records first, then look at upcoming due dates. Exclude Done and Cancelled items when you want an active-work list. Confirm your account timezone when working with due-date ranges.

The editor uses the same unpublished draft recovery and saved-version workflow as Notes. Loading an earlier version into the editor does not publish it; review and save it first.

Deleting a Task, Issue, or Reminder moves it to deleted records so an authorized user can restore it. Permanent deletion is restricted more tightly and cannot be undone.

  • No assignee control during creation: Save the record first, then assign one or more people.
  • An assignee or follower disappeared: Check whether an audience or scope change removed that person’s access.
  • No alert arrived at the due time: Due dates support sorting and filtering; they do not schedule alerts.
  • An edit is visible only to you: Publish it with Save Task, Save Issue, or Save Reminder.
